Include a Create Review Transition

To automate some of the Review creation process in a workflow, you can add an Action to have Inspire open a new Create Review screen. After you create the required Action and Activity, you must create a Transition called Create Review (or rename the existing Send for Review transition). This transition must be connected to the new Create Review Activity.

Required permissions

You must have permission to the Projects Module to work with projects and workflows. Other than that, you do not need special permissions to create, edit, or delete workflow templates.

However, keep in mind that administrators and other users can set permissions on components and folders.

  • You must have permission to edit the workflow template component.
  • You must have folder permissions where the template is stored.

Tips and tricks

  • This automated Action used in this transition is only available in a topic workflow template (not a sequential reviewer template), or a completely new workflow template component.
  • You can create an entirely new workflow template component that has no default Activities and Transitions.
    • Use the Topic workflow template explained in this topic as an example of what you can create.
    • To create a new template, follow the steps in: Create a workflow template component.
  • When creating a review assignment for a project workflow, Inspire automatically includes the component attachments in the review.
  • If you don't want to automate reviews in a workflow, then the user must manually open the Reviews module, click Create, and add all review details.

Before you begin

You must have completed the following steps required to automate the creation of a review in a workflow:

  1. Add the InspireCreateReview Action.
  2. Add a Create Review Activity.

To include a Create Review Transition:

  1. Click Components.
  2. In the Folders pane, select Workflows.

    You can save a workflow template to another folder. If you did this, open that folder instead of the Workflows folder.

  3. In the Components pane, select a workflow template.

    Automated actions are only available in Topic workflows or a completely new workflow template component.

  4. To open the template, do one of the following:
    • Double-click the file
    • Right-click the file, and then select Edit...
    • Click the Options menu, and then select Edit...
    Results: You see the workflow activities and transitions in the editor.
  5. To update an existing Transition:
    1. In the workflow editor, find the Transition called Send for Review.
    2. Click Edit.
  6. To create a new Transition:
    1. In the Activity's toolbar, select Create transition.
  7. On the Create or Update Transition screen, In Name, enter Create Review or another similar title.

  8. In From Activity, select Develop Topic(s) or the preceding step where you want to insert the automation of creating a review.
  9. In To Activity, select Create Review or the name of the Activity you created for this purpose.
  10. You can leave Action empty.
  11. To save your changes, click Create or Update.
    Results:
    • You can see your new transition with two lines: one line connecting it from the start activity; one line connecting it to the end activity.
    • To move your transition in the editor but not change the start and ending activities, click the transition's title bar, and when you see the move cursor, drag it inside the editor.

      The lines connecting the transition to the start end activities are re-drawn as you move the box.

    To automate the creation of a review, your next step is to Add a Transition that uses the InspireCreateReview Action.
