Add a new status to a workflow template

If you don't want to edit or update the statuses that Inspire provides, you can create a new Status to identify what's happening to the components during an Activity in the workflow. After you create a Status you can select it when creating or updating an Activity.

Before you begin

  • You can create an entirely new workflow template component that has no default Activities or Status.
    • Use the Topic workflow template explained in this topic as an example of what you can create.
    • To create a new template, follow the steps in: Create a workflow template component.
  • A Status is unique to the template it's included in. If you want to use the new or updated Status in a different template, you have to re-create it in that specific template.
  • If you only want to update an Activity and change the Status that's currently in use, follow the steps in: Update an activity's status.

To create a status:

  1. Click Components.
  2. In the Folders pane, select Workflows.

    You can save a workflow template to another folder. If you did this, open that folder instead of the Workflows folder.

  3. In the Components pane, select a workflow template.

    To open the template, do one of the following:

    • Double-click the file
    • Right-click the file, and then select Edit...
    • Click the Options menu, and then select Edit...
    Results: You see the workflow activities and transitions in the editor.
  4. On the toolbar, select Statuses.

  5. On the Status Management screen, click Create.

    Results: You see a new row in the list.
  6. To enter information about the new status:

    1. In Name, enter a word that is a unique title and describes how users are interacting with the components during an activity.

      This is usually an adverb (action + "ing").

    2. Optionally, in the second box you can enter a Description. Here you can enter more details about what the user should do to complete this action.
    3. Click Update.
      Results:
      • You can see your new status listed on the Status Management screen.
  7. To save your changes, click Save.
    Results:
    • You can select your new status when creating or updating an Activity.
    You can now:
    • If you are done updating the workflow, to close the workflow editor, click Save and Submit.
    • If you want to keep working but save your changes locally, click Save Progress.
    • If you want to make other changes to a review workflow, continue to Update the review workflow template.
    • If you want to make other changes to a topic workflow, continue to Update the topic workflow template.
