Manage system roles

In Inspire, you use roles to manage access to content, set permissions to perform actions on the content, and grant privileges to use specific features. As an administrator, you can manage roles from the Security menu.

Inspire provides predefined roles for administrators and users.

Administrator roles

When a task warns you that you must be an Administrator to complete the steps, you can be either of the following types of Administrator:

  • System administrators
  • Application administrators

Restricted Content Access is a special admin role you can use to ensure that the user:

  • Is not able to see, access, or modify content.
  • Can only perform administrative tasks as needed.

Inspire provides the following predefined administrator roles:

System administrators

  • Members of this role are Vasont employees who setup, configure, and support your system.
  • This administrator role also has access to manage and update all content in your Inspire instance.
  • You cannot remove this role.

Application administrators

  • Members of this role are also known as Client Administrators.
  • This is an administrator in your organization who can setup, configure, and support your system.
  • This administrator role also has access to manage and update all content in your Inspire instance.
  • You cannot remove this role.

Restricted Content Access administrators

For the restricted access to work, you must remove users from all other administrator roles. If users still have the System or Application administrator roles, they will still have access to folders where the Restricted Access role is added to permissions.

  • This is an administrator in your organization who can setup, configure, and support your system.
  • This administrator has NO access to manage and update any content in your Inspire instance.
  • If necessary, you can grant members of this role access to content at the following levels:
  • You cannot remove this role.

User roles

Inspire provides the following predefined user roles:

Content Authors

  • Members of this role are typically writers developing content for your documentation.
  • You can modify or remove this role to follow your development processes.

Content Editors

  • Members of this role are typically editors reviewing or approving content.
  • You can modify or remove this role to follow your development processes.

Review Coordinators

  • Members of this role can create and manage reviews, as well as resolve reviews once reviewers are finished.
  • You can modify or remove this role to follow your development processes.

Translation Coordinators

  • Members of this role an send a component to a vendor for translation. Coordinators can choose to send a single component or a group of components.
  • You can modify or remove this role to follow your development processes.
