Send a component to the Deleted items folder

If you aren't using a component anymore and don't want to move it to a folder for archiving, you can send it to the Deleted items folder. The component stays there in case you need to restore it or else you can explicitly delete it permanently.

The Update and Delete component permissions are no longer tied together.

  • If you want to move a component between folders, you must have the Update permission for the component. The Update permission no longer lets you also delete the component by default. You must explicitly have the Delete permission to send the component to the Deleted Items folder.
  • If you have permission to delete a component, you can no longer also move the component between folders by default. You must explicitly have the Update permission to move a component.

Restrictions
  • You can't delete a component if it's Locked.

    An administrator can unlock a component and then delete it in the following cases:

    • Locked by you. (Either you have the component open, or you saved and closed it without submitting the changes)

    • Locked by another user. (Either they have the component open, or they saved and closed it without submitting the changes)

  • You can try to force delete a component. The rules for the force deletion of folders are NOT the same as for components.
    • The force deletion of one or more components is only successful if you are an admin or a non-admin user with the Delete permission to the folder.
    • You can force the deletion one or more components in the following cases:
      • The components have references.
      • The ForceDeleteAllowed feature is set to true.
    • You cannot use force the deletion on one or more components in the following cases:
      • Components are included in a project
      • Components are included in a project assignment
      • Components are used in a publishing profile
      • Components are locked after approval
      • Components are locked for review
      • Components are included in a translation job

Use caution when using force delete. If a component has reference and is deleted, it may result in broken links. To correct invalid links, follow the steps in: Repair component relationships.

Ready to get started?

Send one component to the Deleted items folder

  1. Click Components.
  2. In the Folders pane, navigate to the folder where you saved the component you want to delete.
  3. In the Components pane, right-click the component, select Actions, and then select Delete.

    You can also click the Options menu, select Actions, and select Delete.

  4. On the confirmation screen, click Yes.

    Results

    • If any of the following conditions exist:
      • The component is part of a review
      • The component is part of a translation job
      • The Allow Forced Deletions feature is NOT enabled
      • You are not an admin or do not have the Delete permission to the folder where the component is stored

      Both admins and non-admins see an error message.

      You cannot delete the component.

      Next steps:

      • Admins can enable the AllowForceDelete feature. Allow forced deletions.
      • Non-admin users can: request the Delete permission to the folder where the component is stored, remove the component from active assignments, projects, translation jobs, and reviews.
    • If the following conditions exist:
      • The component has relationships
      • The component is not used in a project
      • The component is not locked after approval
      • The component is not used in a publishing profile
      • The component is not used in an assignment
      • The component is not part of a review
      • The component is not part of a translation job
      • The Allow Forced Deletions feature is enabled
      • You are an admin or have the Delete permission to the folder where the component is stored
      You can force delete the component.

      You see an error that the component has relationships.

      After you click Close, you are asked if you want to force the deletion and break links.

      • If you select Yes, the component is sent to the Deleted Items folder.
      • You must correct invalid links. You can do this manually or use Rebuild All Relationships to help resolve linking errors.

        Repair component relationships

    If you need to use the component again, go to the Deleted items folder where it's stored until you permanently delete it. Right-click the component and choose Restore.

Send multiple components to the Deleted items folder

  1. Click Components.
  2. In the Folders pane, navigate to the folder where you saved the component you want to delete.
  3. In the Components pane, select the checkbox for all the components you want to delete.
  4. In the Selected Components panel on the right side, go to the toolbar and click Delete.

  5. On the confirmation screen, click Yes.

    Results

    • If any of the following conditions exist:
      • The component is used in a project
      • The component is used in an assignment
      • The component is locked after approval
      • The component is used in a publishing profile
      • The component is part of a review
      • The component is part of a translation job
      • The Allow Forced Deletions feature is NOT enabled
      • You are not an admin or do not have the Delete permission to the folder where the component is stored

      You cannot delete the component.

      Next steps:

      You can force delete the component.
