Add components to the Content folder

When you're using a project to collect components, you can add them to the project's Content folder.

In the Content pane, after a topic's name, you can see more information about the topic's status if you see any of the following icon types:
  • Shared ( ). The first column tells you the number of references in Inspire. To see the number, hover your cursor over the icon. All references are counted, even if one component references this component multiple times.
  • Tags (). The second column tells you if at least one component tag has been added to a component's Inspire-based metadata. To see a list of all tags applied, hover your cursor over the tag icon
  • State (, , , ). The third column lets you quickly identify appropriate actions you can take on a file.
    • Draft. The component can be edited and isn't ready for publishing or translation yet.
    • Invalid. The component has one or more links that can't be resolved.
    • Approved (No signature required). An Inspire user has approved the component for publishing or translation and it shouldn't be changed. Approved components can be locked with a green system lock.
    • Approved and signed. (Signature required). You are required to enter your full name to attach an electronic signature for approval. The component is ready for publishing or translation and it shouldn't be changed. Approved components can be locked with a green system lock.
    • In translation. The component is included in a translation job and it is still being translated. An administrator can decide if the component is unlocked for editing or not while in translation
  • Lock ( , , , , ). The fourth column tells you if anyone else is using the file currently and if you can edit it.
    • Unlocked. The component isn't being edited by another user or in use by Inspire.
    • Locked by another user. Another user has opened this component and made changes that may have been saved but not submitted yet.
    • Locked by you. You have opened this component and made changes that may have been saved but not submitted yet.
    • Locked by Inspire. Inspire prevents other users from editing the component while it's being processed. This can include the process of reviewing, for example.
    • Locked after approval. A component has been approved and an administrator has configured components to be locked upon approval.

To add components to the Content folder:

  1. Click Projects_TopMenuOpt Projects.
  2. On the Project Management tab, select the project you want to add existing components to.
  3. Right-click the project and select Open.
  4. Optionally, from an open project's Content pane, you can create a new root or subfolder for the new content.
    1. Right-click the Content folder, and then select Create folder.
    2. Next to the new folder enter a name.
  5. In the Content pane, right-click Content, and then select Add existing component.
  6. On the Select Components dialog, in the Folders pane, select the location of the existing component.
  7. In Components, select the files you want to add to the project.
    When you add a component to a project, on the Select Components screen, you can set the number of components listed per page. At the bottom of the list, next to Items per page, from the dropdown menu select a quantity.
    Inspire remembers how you customize this setting. The next time you open the Selected Components panel, Inspire uses your choice instead of the default. If you want Inspire to forget your customization and return to showing the default number of Items per page, you must re-select the default or clear your browser's cache.
  8. Repeat steps 6 and 7 until you've added the files you need.
  9. On the Select Components dialog, click Select.
    Results:
    You can verify you selected the correct component by looking in the Content details pane at the preview. You can see the first few sections of the topic at a glance and scroll to see the rest of the topic. If the pane isn't open, click the down arrow in the pane's title bar.

    If you think the preview isn't showing the latest version, click Refresh .

    You can copy component details outside of Inspire. From the Content details pane, use your cursor to highlight text and then use the keyboard shortcut Ctrl + C. The text you copy is saved in the Windows clipboard. You can now paste the text to Notepad or any other application you want.
